Hello, everybody, today we're going to cover a great topic that's called bringing your PowerPoint presentations to life. My name is Tom galley. I'm a Microsoft certified trainer, and a Microsoft Certified expert in office. And I've been doing this for a long time. You can find me through the foreign furniture watching the webinar, or you can also find me online as well. So again, you can find me through the forum thread through which you're watching the webinar where you can also find me online as well. So today, we're going to talk about a great topic, bringing your PowerPoint presentations to life A lot of us are probably already using PowerPoint to make our presentations. But I'm going to really show you how to add some pizzazz to your PowerPoint presentation by adding audio and video clips, making a point with PowerPoint animations. moving from one slide to the other with transitions. dribbling on a slide, that's a new feature, go into different parts of the presentation with action buttons, and link to other documents or webpages with hyperlinks. So now here, of course, is a PowerPoint presentation.
Right now I'm going to go to the next slide by hitting the down arrow key, but I can show you how to go to the next slide automatically. That'll be when we get to the transitions. Now right away, this is how this slide actually has a screen print. So when I made this presentation, I use the tool that I'm about to show you. So I like to show you how to do screen prints right in your PowerPoint presentation because now it's built right in. Now I'm going to hit the Escape key to close out of this presentation.
Now I'm going to go to a different presentation within PowerPoint. So I'll pick on the View menu. And I'll pick on the word switch windows. And now I do have this other presentation available. It's called PowerPoint beyond the basics. Good.
So let's say I like to get a screen print maybe from the internet, or from Excel or from any other program. So first, what you want to do first is open up that other program. So let me go to the internet for a second. And let's say we want to go to the lawman Education website who's hosting the webinar today. Good. So let's say I like to use part of the screen.
So I have this screen open. Now this could have been any other program could have been the internet or word or power or Excel or anything else. Now watch. We'll go back to excel. Go back to that presentation. I'm going to pick on the Insert menu up top.
Oh by the way, I'm using PowerPoint 2016, which is the newest version of PowerPoint as of this recording, and that's what you get when you have office 365. Now, sometimes I'll make my mouse do that. So you can find out where my mouse is picking the word insert, and then you come over here and you pick in the word screenshot. Now you want to go to the bottom one. If you go to either of those, it'll insert the full window, but you picking the word screen clipping. Now it'll go back to the most recent window that you were just using.
Now notice how it just faded out. When it fades out. I can just highlight any section of that. Any section of that window. And now misho pulled that right into my PowerPoint. I think that's such a great tool.
So watch again, I'm gonna I'm gonna start from the beginning when I delete that it actually comes in as a picture. So you have the other window open. Now it could have been the internet Or an Excel spreadsheet or any other kind of program, then you go into PowerPoint. And you pick on the Insert menu to pick in the word screenshot. Now you want to go with the bottom one, it'll open up the most recent window. Now when it fades out like that, you're just gonna highlight the part of the screen that you want to come in.
And it pulls it right into PowerPoint, I like that feature a lot. It really does allow you to bring in screen prints pretty easily. Now, by the way, that same kind of technique will work in word or in Excel, or an outlook, you can do the same kind of things. Now, of course, we can always add regular pictures. If I say insert and picture, then we could just add a picture from your computer. You know, I have some different ones in there.
That's just adding a normal picture. Not a big deal about that. Now another thing that we could actually insert is an organization chart or hierarchy chart, there's a really quick way to do that within PowerPoint, it's called a smart art. Let me just introduce the concept of a smart RTO. I'm going to click on the Insert menu, and you come over here, you pick in the word smart art. And then there's actually many different business graphics that you can use.
These are great. There's a lot of purposes for these instead of doing those from scratch, these that you can find some uses for some of this. But there's actually a category that's called hierarchy. And these are organization charts. So I'll pick on the word hierarchy, pick on this one, and then click on OK. Now imagine each different box is a different person. So let's say I have Mary up here.
And I want to hit the enter key. And let's say Mary is the CEO. Now let's say Mary has an admin. So let's say the admin is Tony. And Tony is the admin And now let's say Jim is a VP that reports to Mary. And then Jane is another VP that reports to Mary.
And then Terry is another VP that reports. So this is called a smart art. And I use the hierarchy. And you can see I'm quickly building an organization chart. Now, let's say your organization chart is going to have more than just those people. Here's what I would do.
Let's say Mary has a fourth person that reports to her. So I'll pick on Jim's box. Then you pick on your design menu, and you're going to come over here and click on the arrow where it says add a shape. Now if I say add a shape before or after, then it will put it on the same row. Let's do that out of shape before and now notice how original another box and that redrew the line. And let's say now we have Larry And let's say Larry is going to be a VP.
But Alright, so now let's say that Larry has some people that report to him, I'm going to pick on Larry's box, again, look, I'll pick on the poor versus add a shape. And then I'll say add a shape below. And those what that does, it puts that below the box. So now, let's say let's say Lisa is a manager. So everybody, this is called a smart part. Now there's a lot more we can do with this.
Notice I can change the different formats over here where it says layouts. I can pick the different color schemes. Okay. So all we did to get this started was I picked in the word insert, and I put the numbers smart art. And then you have lots of business graphics, but I chose the one that's called hierarchy. And you can see it was a quick witted Make an organization chart.
At least I guess you start out with the smart arts. After that they kind of all work the same way. And now we'll even call the slide organization chart as a title. Excellent. Now I'm going to go back to the other slide. Let's say we'd like to have a sound clip or a video onto the slide.
So actually, let me go to a different slot. So in this case, we'll pick on the Insert menu. And if you notice over here on the right side of the Insert menu is is video and audio. So now there's a couple kind of videos that we can add, we get the video might already be on your computer, or we can also get some videos from some of the online services as well. So I'll pick another video, and I'll say video on my PC. Then you would point to a video file that might be on your PC.
So I'll pick up the word wildlife right there. And I'll pick on insert. This is a this is WM or windows media file, now look at all the different formats that it can accept. They made that list much bigger in the newest version of PowerPoint. Now there's many different video formats that we can use. So that's fine.
I'll pick on wildlife. This is one that comes with Windows. This is a sample video. Excellent. Now the video is now going to play until you run the presentation. Now I'm going to pick on the word slideshow, and I'll say from current slide and then we see the video and then inside the video is not playing.
So there will be a setting that we can make it play automatically. Right now I have to go to the video and then click on the Play button, and then it'll start to play. Now in the interest of time, I'm not going to play that entire video. But this one kind of comes with Windows or are you still I'm going to hit the enter key. I'm going to hit the Escape key to close out of the presentation. Now I would like that video to play automatically when we're on the slide.
So I'm back to normal view, I clicked on the video. Now, when you pick on the video, then you have an extra menu up top. That's called playback. But you only get that when you click on the video. So when I click on the playback menu, and now look, we're going to say start. Automatically, you see, that means it's going to start automatically when the slide is there.
Now we can also play the video on full screen, that's a good idea. And then we can say we can trim it. Let's say I don't want to hold the whole video to play. So I'll pick into our trim video. And then you can pick and choose as to where it's going to start and where it's going to end. Let's say I like that starting position, but I wanted to end just maybe where the horses are.
So notice what I'm doing. Moving the end portion, this red portion over and we'll put it right where the horse is stop. Right that perfect. So now it's a lot shorter, because I trimmed it. Let's see what the whole thing is going to look like. In this case I picked on the word playback.
I made this a start automatically, instead of running it on the mouse click, and then I trimmed it over here as well. Now I'll pick on the slideshow menu and I'll say from the current slide, notice how it's full screen displayed automatically. And then it stopped when I asked that the trim. Alright, so that was a nice video, I want to hit the Escape key at this time. The way I got the video on there in the first place is I picked up the Insert menu. And then I come over here and I said video.
Now this let's go to a different slide. Notice how there's another one under the video category that says video online video. This is where you can pull it from YouTube. or from other sources. So going to where it says online video. And then we can pull it from YouTube or if you have embed codes from other sources, you can paste the embed code in there.
But let's say for example, I'm going to go to YouTube and I'll type in the word woman again. And then here is the woman education. Here's a sample video that they made. I'm going to click on that. And I'll click on Insert. And now it's going to put that video on there.
Now I can resize that I can move that around. Now notice when I move it around, you see that red line that tells me that that's centered on the slide. perfectly. Okay, excellent. Now, we already know that we have to put the settings in there. So I'll pick into our playback and I'll say start automatically.
Let's see what this video is going to look like. I'll pick on slideshow and I'll say from the current slide And there it is. So it'll start to play in just a second. As we can see, can I trust with my professional development? How do I know if I'm meeting my accreditation need, so obviously, we can let that video play. But that video we pulled right from the internet by doing the following.
I picked on Insert, video, and an online video. Now you can search YouTube. Or if you have the embed code from different sites, you could just paste the embed code in there as well. Very powerful. I showed you a couple ways to add videos onto your slides. Now when you click on that video, you get the playback menu, and then you can decide whether you're going to play that automatically or on click.
We can play the full screen when that comes up. Now this one probably doesn't let me trim it because it came from the internet but the other video did. Let me Trim it, as you can see. Alright, so that's how we can add some videos on to our presentation. Now I'm going to go to a new slide here, I'll click on Insert for the home menu and I'll pick a new slide. Now we can also do audio files on our presentation as well.
So in this case, we'll click on Insert, and those over here we have audio. We can get an audio from the PC, or we can also record it. So let's do audio from my PC. And then you'll see some audio format. Notice how there's many audio formats that they can use. They really have enhanced that less recently.
Now there's a lot of audio formats that you can use. Here's one, the soloing would sound you know where I have one is called airplane takeoff. You can use those kinds of sounds. You can also use a CD tracks or tracks that are from iTunes or you know any any track that you have. When you On your computer would work as well. But here's going to be a sound I'll pick on insert.
Now in this case, the sound kind of shows up like that. So I'll just kind of move that over there. Now, let's see what that's going to sound like when I play this slide. I'll click on the slideshow menu, I'll say from current slide. Now, just like with the video, you would have to, you know, right now, it's on the mouse pack. So I'll pick on the Play button.
And that's your heard that was a song I saw, right? So let's go back, I hit the Escape key. Now let's get back to that slide here this. Now I'll click on that sound icon. And then just like with the video, you get that playback menu as well. So I'll pick into Word playback.
And this is how you have the same kind of choices. So I want that to play automatically. Now if you want that sound to play across there slides, we can even do that. Right now. It's just on this slide. But if that's a music track or something, maybe you want that to play across different slides, and it'll just continue.
I'm going to hide it during the show. So we don't we actually see that soon. I don't want to see that speaker. Good. I could play it in the background. So look at all the choices that you have.
And even here, I can, I can trim that. So let's say I don't really want that to be very long. Right now it's 11 seconds. So I'm going to pick on the end, and drag it maybe just want that to be like, about two seconds. Good. All right, so that I could change the start time and actually trim that so it begins the different period or ends at a different period as well.
Let's see what this is gonna sound like this time. It should play automatically when I'm on that slide. I'll pick on slideshow from the current slide. And that's very obvious that that is there. All right. So In that case, what I did was I put in the Insert menu, then I picked in the word audio and it's an audio from my computer.
Now you can also record an audio. So let's go to a different slide. And in this case, I'll say insert, and I'm going to go ahead and record the audio. Now this of course requires that you would have a microphone on your computer. Most laptops have a microphone, but some of the desktops do not. So pick on record audio, and I'm actually going to do this.
He said that it will record now when I pick on that red circle, it will be recording. This is me actually recording the sound. And then I picked on that blue square to stop recording. Let's see what that's going to actually sound like. Now I'm not going to talk this should be the recording at this time. This is me actually recording the sound So that sounded pretty good to me.
I'm going to click on OK. And now there's that sound. Again, I'll just move it over here. And of course, you'd have the same kind of choices, I'll pick on the word playback. And I'm going to start that automatically when we're on the slide. And you have all the other choices as well. Hopefully that'll play when I'm on this slide, I'll pick on slideshow from the current slide.
I'm going to personally shut up Believe it or not, and then this will be the recording. This is me actually recording the sound. And you can see that works very nicely. So I picked up the word insert. Then we have videos, I showed you both of those choices, and then I showed your audios as well. Let's continue on with doing some things in PowerPoint.
So actually, I'm going to go back to the presentation that came with our webinar. today. I'll pick on view, switch windows, I'll go back to the other presentation. Oh, and this on this presentation, I showed you how to do the screenshots. And then that is how this one also has the rectangles around some of those words. Let me show you how to do that one really quickly.
Go back to switch windows. So let's say I want to draw a rectangle around our organization chart. So it's really just going to be a shape. I'll pick on insert shapes, and then I'll use the rectangle, although any, any of those can work. Now I'm going to draw a rectangle with my mouse, just like that. Good.
Now, notice how it comes in with a solid color. So here's what you do. You pick in the Format menu, and you make the shape fill beach, so you know fill. Alright, so you can clearly see that helped a lot. And then as far as the actual outline, I'm going to click on the outline right there. And then we pick on shape outline on To the Format menu, pick on read.
And then also pick, shape outline. And then the weight would be like make it a thicker line, see that there's a nice thick line. Good. So when that's a really interesting way to highlight things on the slide, if I go back to my other presentation, if I go back to the switch windows and then go back to the other one, you see how, where I have all these red rectangles. That's exactly how I made this. It just kind of enhances the presentation when you want to highlight something.
Here, this slide was talking about adding the audio and the video clips. And you can see I picked on the Insert menu, and either video or audio over there. Let's continue on to the next topic. Now, a great way to enhance your presentation is to add PowerPoint animations. Let's see how that's going to work. We're going to go back to the other presentation now.
So I'll pick on view, switch windows, and I'll go back To the other one. Now, I have a perfect slide for this. So I'm gonna pick on this slide. So imagine I'm gonna have a plane landing on the landing strip. I'm gonna have the plane pull up and get some gas, then I'm gonna have the plane take off again. Alright, so give me give me a break with the gas pump.
All right, it's just, it's just a demonstration. Okay? All right. Anyway, actually, these landing strips in the gas pump are actual pictures that I pulled from the internet. But I like to add the plane in so will they insert, picture, and then I do have a plane over there. Now when I add that plane in, first of all, it's rather large.
So I want to resize that naturally. So I'm just using the sizing handles. Now let's see if it's going to let me remove the background sometimes on your pictures, it will let you remove the background. So you see that blue background. Let's see if I could do something about that. This doesn't always work, but sometimes it does.
I'm going to click on that picture. When you pick in the picture, you get the Format menu up here, then I'm going to try this pick on the word remove background, let's see how it worked for this one. It's not bad, I think it's going to work very nicely. So if I click away from that, then you can see, well, I chopped off a little bit of the plane's nose there. But let's try that removed back on again, I pick on format, remove background. Sometimes they'll let me kind of highlight a different area, but you know, this will be fine.
In this case, I'll leave the background on that because if I take that away, kind of takes that nose away like that, so I'm going to undo that but I know what that's not bad. We can deal with that. So now, I'm going to make the point a little bit smaller, and kind of make it appropriate with the venue strap. That's not bad. Okay, now, I want that pain to kind of go come in as if it was making a landing. So let's start to animate that plane.
Now in this case, we're going to use the animations menu up top right down the animations. Now what I would highly recommend to everybody is that you turn on a window that's called the animation pane. And I'll show you why. On the pick of the animations menu, and then come over here and you click on the animation pane. Right there. Good.
Now the animation pane will be over here. It'll become very apparent why I have that in a few seconds. Now I'm going to click on that plane pick on the picture of the plane. You always pick on your object. And now I'm going to come over here on the animations menu and click Add animation. Okay, there's four classifications of animations.
Entrance means how is it going to come into the slide emphasis means once it's on the slide, we can emphasize that in different ways. Exit means how's it going to leave the slide, and then motion path means it's going to move around the slide. So those are your four classifications. Now I want to draw your attention down here. I have more entrance effects, more emphasis, more exit, and more motion pass. Those are the ones that I usually use.
So I want to say more interesting effects. Now what I like about this window is first of all, you do get more choices. And second of all, it's going to do a preview of what they look like. So if I click on Mondays, then you can kind of see what they're going to look like. Alright, so now let's see if I have one that's called fly in. Good.
I do like the one that's called fly in, although I'm going to make a fly from the top left to the bottom right. So I picked on fly in. You see how I have the word preview checked. So it does do a preview Now let's see how we're going to change this animation. This is why we have the animation pane notice held and that right over there, I'm going to double click right on the animation right there. Okay, I want that to come from, how about from the, the top left, let's see what that looks like.
I believe that's the way I want. Now I want that to be not so fast, I'll make it like maybe medium. I just want to see what that's gonna look like. That's not bad. That's not bad. I can deal with that.
Okay, so that was a nice kind of soft landing. So let's see what that looks like when we run the presentation. I'll pick on slideshow from the current slide. Now when I'm doing these, I don't need to run the presentation right from the beginning. I just want to run it from the current slide. See what that's gonna look like.
So notice how the plane is not coming in right now. Right now I have to click on the mouse or click on one of the things He used to make it come in. And here comes the plane. Now, I would really like that to come in automatically. So let's see the next thing that's going to happen. But you see the plane came in, so I'm going to hit the Escape key.
Looking at that, perhaps could be a little bit bigger. That's not bad. Okay, now, watch what I'll do to make it come in automatically. I'm going to go back to the animation pane over here on the right and double click on that animation. You see, now we add the timing of the animation. So I'll pick on timing.
And I'm going to make it say automatically after the previous and then you pick the number of seconds. So let's say maybe one second. That means one second after the slide appears, then the animation will go as well. That timing was really important. So after previous one second, all right, let's see what that's gonna look like when we run the presentation. I'll pick on slideshow from The current slide.
And now here comes the plane. Good, perfect landed. Now, the next thing I want to do, I just hit the Escape key, of course, to go back to normal view, I want the plane to move from here over to the gas pump. Now, here's where people make a mistake. They think they want to change the animation that's already there. And that's not the case, you're going to add another animation to kind of building a storyline here.
So I'm going to click on the plane. So you go back to the animations menu up top. And then you click on Add animation again. Now in this case, I wanted to move from left to right, so that's called a motion path, when you want to animate when you want the picture to move on this slide is called a motion path. And I just choose more motion path So you could try some of these. If I click on any one of those, you can see what the plane is doing.
But in this case, I wanted to move to the right there should be one that's called right. So I'll pick on the word right right there. And you can see it's actually moving to the right. Perfect. So that's the one I want to use. I'll pick on okay.
Now, if you notice, it didn't get all the way to the gas pump. So notice what I'm gonna do. I might even do that. So it's like kind of close to the gas pump. So you see what I did. I got that red.on this image and just kind of move the kind of closer to the era gas pump over there.
That's exactly where I want it to last. Now, this over here on the animation pane, here's the entrance. That's what it flew in. And then here is when it moved over to the gas pump. Now I want that one to happen automatically as well. So I'm going to double click on the second one right over here on the right.
And then what are the timing once you know that you have to do that I start to use that. So I'll say after the previous one, that's a second later. So let's see what the whole thing is gonna look like now. So I'll click on the slideshow menu and I'll say from the card slot there comes the plane. That was the entrance, right. And then it's going to go over to the gas pump, perfect.
Looking good. And there's a happen automatically because of the of the timing that I put in. Now, once we're on the gas pump, now I wanted to make it look like we're getting some guests. So I'm going to click on the picture again. And we're going to add another animation. So I'll click on animation.
I do add animation again. Now here I might want to use an emphasis. So the one that should be called pulse is probably the one I want to use. Yeah. Now, notice how that added a third one over here I have the entrance, the motion path, and then the emphasis. I'm going to double click on the emphasis.
I'm going to add that timing again. I'll say automatically after the previous one after it's a second later. And this time I want to repeat that maybe like three times. Yeah, we have the repeat option. So I'll pick on okay. All right, let's see what the whole thing is going to look like.
Notice how I didn't add the timing on to that one as well. Over here for the timing says after previous, this way, it'll all flow together. So I'll click on slideshow from the current slide. Let's see what's gonna happen. There comes the plane, smooth landing, because ever get some gas, and now it's getting filled with gas. Okay, perfect.
I was calling emphasis. Now once it gets some gas, it's ready to take off Again. Now what we'll do is we'll move it over to here. So that'll be another motion path again. So imagine you're kind of building a storyline here. So I'm going to click on the plane, back to animations, we'll add another animation.
One slide can have as many animations as you need. This will be another motion path. And I'm going to move it to the right again, just a little bit this time. Now, in that case, I really want that to be. We want that to be over here. So, of course, I'm going to go on to this animation over here on the animation pane, and we'll add that to the timing.
Each one has to be handled individually as you can see. Let's see if I got that right. Actually, I want that Start to be kind of where there was before. Let's see how this is gonna look. So I'll do a slideshow from the current slide. That was the entrance effect.
That's the first motion path, getting the gas. Now I have to change the the second motion path. So I just hit the Escape key. I'm going to go to the second motion path over here. See, I just clicked on that. I really want that to start where the other ones start.
So I'm going to kind of move that starts over here. I think that'll be better. That's tried this time, and I wanted to move it back to here. Good. That should be the trick. So let's see what's going to happen this time.
From the current slide. Here comes the landing. Oh, I see. I messed it up. Now. Okay, I messed it up a little bit.
So actually, what we'll do is I'm going to pick out that last one here, I'm going to right click on that one, and delete that animation, let's say from after they get the gas, then, you know, I'm gonna undo this a little bit. I'm gonna undo. So that last animation is not there, because I think I messed it up a little bit, which is fine. That's why they didn't undo. Okay, good. Now the last animation is not there.
What we'll do is after we take the gas, then we're going to make the plane take off. So I'm going to click on the plane. And then we wanted to leave the slide. So I'll add another animation. I'll say animations, add animation. And here we have an exit effect, which means it's kind of leave the slide.
So at this point, you try some of these and see which one of these looks pretty good. So So yeah, you try some of these, see which ones might be the proper one. How about if we picked on one of these? I kind of like that float out, and it just kind of takes off like that. Let's go with that one. Yeah, the float out.
Okay, good. Pick one float. Now, of course, you know what I like to do. I like to have the timing there. So I'm going to double click on that animation on the animation pane and we'll make the timing go with one and we'll say after previous after one second, after it gets the guess one second later, it'll take off. Now at this point, everybody, what I want to do is On that last one, I also want to add some sound to it.
So you can add some sound on to this as well double click there. And that's how it does a sound. And then let's use a sound this try. There's one that's called the bush. And if you want to use the sound from your computer here, you can use another sound, but let's use bush. Ah, perfect.
Okay, actually, let me try another sound actually have a plain sound on my computer. So I'll go with other sound. And now I will go back to see if I have anything out there. Now, I guess we'll use the watch and that's fine. It's looking for a WAV file there. So let's use the wish.
Okay, let's try the whole thing from the beginning. So I'll pick on slideshow from the current slide. Here comes the plane. That was Interest effect. This is the motion path. This is an emphasis.
And then it's just going to take off. And that was a exit type of animation. So notice how that one picture has four different animations. And that's why the animations pane is so important. The way you open up the animation pane as I put in the animation menu, and I put the animation pane right there. And then you had kind of build a story.
Here's the entrance, the motion path, the emphasis and then the exit. Now, now that you know how to do the animation, you want to practice with that. I'm gonna advise you not to overdo it. If you do it every once in a while, people will be like, Hey, that was really great. How did you do that? But if you do it every single time, people will be like, okay, we get it, you know, so you don't want to overdo the animation, but you can see it could be very effective.
Now, I'd like to show you another form of animation. I'm actually going to go back to the other presentation right now. Pick on switch windows. Go back to the other one. Now, let me show you how to animate this text. I want each line of text to come in one line at a time.
So I'm gonna go ahead and click on the text box itself, and the text box can be animated. So I'm going to make sure I click on the edge of the textbox. So it does the whole thing. Then I'll go to the animations menu, picker, the animation pane for this presentation. And that's going to be this window over here. I just like to see that the new add animation.
Now the one that everybody uses for text is called fly in. Although any of the others will work as well, but many people use fly in and then the test is coming in one line at a time. Now what I'll do is I'll double click on the animation on the animation pane right there. Now this time, I don't want it to come from the bottom, I want it to come from the top I like the one that's called from the top so it kind of drops in. Now this time, I'm not going to add the timing. I want that to be On click so I have control over it.
Let's see how it's going to work. Perfect. I like that. Let's see what it's gonna look like when I run the presentation. So I'll pick on slideshow from the current slide. Notice how it's not coming in yet until I click, which is what I want to do.
So everybody Today we're going to talk about, I'm going to hit the down arrow key and my key word. Today we're going to talk about adding audio and video clips. Adding animation to each time I hit the down arrow, one of those is coming in, because I animated the text. Soon we'll talk about transitions, drawing on a slide, and so on. So just click on the text box. And then you could add the animation to the text box over here to say add animation.
And many times the one that people use is fly and other the other ones will work as well. So hopefully you got some ideas about your animation. Anything on the slide can be animated. You can click on it, you can add a minute. So in other words, I can even click on this. If I click on this, the shape, let's animate that really quickly.
Okay, the animations pane, add animation. And I want to make that just appear. This is a kind of interesting one, I want to make it appear. And I want to make that appear when I click on the mouse, so I'm not going to add the timing. Watch how it works. I'll click on slideshow, and I'll say from the beginning, here's the the text animation I just added.
Alright, here's the slide of it. Now look, first you pick on the Insert menu. Now you click on the video choice over here, you see how that that should just appear like that. That's just an animation. hope you got some ideas about that. Now let's talk about transition.
So go back to the other presentation. Now I want this slot. I want this presentation. To go from the next slide or automatically to the next slide. And that's quite a transition. So I'll pick on the transitions menu up here, transitions.
Now first of all, you can add a special effect between each slide. So there's a lot of different special effects. I like the one that's called checkerboard, although many of the other ones are great as well. I think you kind of see how it checkerboard, like that. That'll happen between each slide. Now follow the mouse over here to the right.
If I want that to be automatically advancing to the next slide, I'll say after so many seconds, and I'll say after three seconds, for example, that let's say for that means every slide will advance to the next slide. After four seconds. Actually, I'm going to pick the word apply to all and apply to all means every slide will advance to the next slide after four seconds. Let's see what that's going to look like. I pick on slideshow from the beginning. See how a checkerboard in like that and then automatically goes to the next slide after four seconds, here's why the org chart and then after four seconds it should go on.
And then here's that video, and so on. So now it'll move automatically to the next slide. Now if you want to slop if you want to stop at a slide, here's what you do, I click on slideshow from the beginning. Here's the first slide. After four seconds, it'll go to the next slide automatically because of the transition. Now if I want to stop here, I'm going to hit the S key, I just hit the S key on my keyboard and that'll stop it.
Then I can talk more about that slide. If I'm going to continue I'll hit the S key again. And now you'll see it'll continue. As you can see, so if it is on a time presentation you hit the S key when you when you want to stop it So we picked up the transitions menu, you can certainly pick a different transition effect there. Now notice I have both of those checked over here. This way, I can still manually override it with the mouse or with a keyboard.
Otherwise, they'll go to the next slide after four seconds, and I should apply to all. Alright, so those are called transitions. That helps you go to the next slide. Now, of course, you can pick a lot of different effects there. Now, you can also add a sound between each slide. So you know, this way it can make that sound between a slide as well.
So you might want to experiment with that. We saw the transitions menu, and we saw the animations menu. Let's continue on. So let's go back to our other presentation and see where the next topic is. Here is where I add it. audio and video.
Under the Insert menu, here's the animations menu. And then notice how I turned on the animation pages over here on the right. I like to use that it does keep it organized. Then when you want to animate something, I use a different plane on this presentation. So there's the plane, you pick on the picture or the object. And then you say, add animation.
Remember, there's four categories of your animation. The entrance is how it comes into the slide. The emphasis means once it's on the slide, I can emphasize that make it stand up. Exit means it's going to leave this slide. And then the motion path will mean we can move it around the slide. And you can have as many animations on the slide as you need.
Now, on the next slide of this presentation, let's see what was next. Oh, this is where we just did the transitions, right. Transitions means it's going to move to the next slide automatically. Click on transitions. Now usually I will pick both of those choices right there because I want that, I want to be able to override it if I need to. Otherwise, you'll put the number of seconds right there.
And if you want all the slides to move to the next slide automatically, you would say Apply to All. Let's go to our next slide. Okay, now I want to show you how you can draw on the screen. Now this this requires you to have some kind of touchscreen. And on the computer that I'm working with right now, I do have a touchscreen. So let's try something.
I'm going to go back to the other presentation at this time. Here it is. Now look at my menus, I have home insert design, I would like to turn on the draw menu. So picking the File menu up top, and then I'll pick on the word options, file options. And then I'm going to come over here picking the word customization. Then, remember, the ribbon is a new word for the toolbar.
Once I pick on Customize ribbon, you'll come over here and you'll pick on the word draw. Now, you may not see that on yours because it would only apply when you have a touchscreen and a lot of the laptops these days, and even the desktops are getting touchscreens, but anyone want to turn to the draw menu, I picked on file and then options. Then I picked on Customize ribbon, then I made sure the word draw is checked right there. Let's see what that's really going to do for us. That is how the draw menu is now there. Let's go to a different slide.
So let's say in this case, I'll pick on the draw menu. And notice over here it says draw with touch. So that means you're going to touch your screen or use your stylus if you have that I'll pick on draw with touch. Now I'm gonna tell you I'm not the best troller Okay, so I'll type in the word yes Running into a gas with my finger, I should say, Okay, excellent. Obviously, if you're better at drawing, it'll show up. So I'll just click away from that.
Now, let me show you a nice feature there. I'll pick on the drum. And you notice over here it says ink to shape. So you can actually draw a shape and it should make a pretty recognizable shape. So I'll pick on it into shape. Now, let's say I draw a rectangle, I'm drawing the rectangle with my finger and see how it made it into a real rectangle.
Or if I draw a circle with my finger, it made a real thing or emitted a real circle. So in that point, what I did was I said ink to shape. Let's see if I can draw a rectangle, a triangle, and you can see that made that so that's a nice choice that'll kind of make your shapes into something more meaningful. Now notice how I can pick different colors, lots of different colors to choose from. different different pens as far as the thickness, right. So this could be a nice little feature for you.
It's how we could draw on the screen. Now that is probably available only in PowerPoint 2013 and PowerPoint 2016. It's fairly new. And also it would really work when you have when you can draw when you have a touchscreen, like I do on my computer here. Now, if you don't have that, let me show you a different way to draw on your screen. Let's go back to a different slide.
Now this will work when you run your presentation. So I'll pick on slideshow, and I'll say from current slide. Now, in this case, I'm going to hit the S key. So that'll stop the automatic transition. What you do at this point, you're running your show in slideshow mode, I'm going to right click there, and then you pick on the word pointer options. And then you pick on maybe the pen or the highlighter, so I'll pick on the red pen Now you would draw with your mouse.
Now this has been around for a while. So the way you would draw with your mouse is you're going to hold down your left mouse button. So I'm going to hold down my left mouse button, and I'm going to say, I want to draw a circle around Mary's box. Excellent. Now, if I want to change the color of that pen, I'm going to right click again, I pick on corner options, and then we pick on color. Let's go with green this time.
And then I'm going to, again, hold down my left mouse button, and then draw a circle around that one as well. Now the ink is temporary, so let's actually do something on there. I can get rid of that. I'm going to right click, and I'll say pointer options. Then we have an eraser that I can click on that and then it goes away. Now what if you want to make that a permanent part of the slide?
Well, I'm gonna hit the Escape key at this time. I'm going to hit the Escape key and look what it says, Do I want to keep my ink annotations, and this way it will keep it on the slide. So if you have a newer version of PowerPoint, you can turn on the draw menu over here. And then you can just draw, you know, right on these slides. But to do the other one, you have to go into slideshow mode pick on from the beginning, then you can right click on a slide, and then you pick on pointer options. And that's how you can draw on your slide as you can see, let's try one that's called the highlighter.
And in this case, I'm going to come over here and highlight the phone number that you can get to lawman education. Let's go back to that slide. See if that was there. And you can see it is there. Okay, so I'm going to go back and hit the Escape key. And so that's how we can draw on a slide.
Let's go back to our other presentation. Now here's where I turned on the drums. You under the options that I picked on Customize ribbon. And then there is the draw menu. Now in this case, we're going to do something that's called an action button. An action button means it can help you go from one part of the presentation to the next.
Let me go back to the other presentation. Let's say from the org chart, I want to have a quick way to get to the slide that has the video. So when I run my presentation, I pick on slideshow from the current slide, I could right click on that slide and then click on see all slides and then jump to it that way. Right. I could do it that way. But that was kind of the parent to the audience.
On the other hand, I want a more conspicuous way to get to that slide. So we're going to add an action button. In this case, I'll pick on the Insert menu and you can add an app Action button to a shape or really to anything else. So I'm going to go ahead and click on this shape the rectangle, and I usually move it over here in the corner. Okay, now right now it's, it's there, but I want to make that more hidden. So when you have that shape, you click on it, here's how to make it into a live action button.
You go back to the Insert menu, and then you pick an action. Right there. Let's make it a live button. Now there's many things you can do with the actions. You can play a sound, you can highlight, you can run a program, but the one I usually choose is called hyperlink. Then I can make a link to many different things.
The first slide the previous slide, and so on. If I wanted to go to a specific slide, I'm gonna pick on the word slide right there. Then I think that was slide seven. Yes. Okay, good. So in other words, when I click on that button, it's going to bring me to slide seven Now if I don't click on that button, it'll just go to the next slide of the presentation.
So it's only there when you need it. What I did was, I picked up the word action on the Insert menu, then I picked the word hyperlink. Then I said, you know, you go to a specific slide, and in this case, we'll pick slide seven. Let's see what that's going to look like. It's not going to work until you run your presentation. So I'll pick on slideshow from the current slide.
Now, I'm going to click on that, that square, and it brought me right to the slide with the video as you can see. Now maybe here, I want another button to go back to the previous one. So do insert shape. And then we'll pick on insert and the action. And now this time I'll go back to the the last slide that was viewed that means the most previous slide right? Let's see how this whole thing is going to work the slideshow from the current slide.
If I click on that square, it'll bring me to the slide with the video. When I'm done with the video, I'll click on this square. And it'll be bring me back to the other slide so we can go back and forth. Now let me show you how you would make these more citizen so visible. I'm going to click on that square right now, it's very plainly visible, but I'm going to change the format of that, click on format. And I'm actually going to say no fill and even say, no outline, then you're the only one that even knows that it's there.
That's why I always put them in the same place. I put them in the corner up here. So I know that it's there, but nobody else will know that it's there. And we'll do the same thing down on this other slide. I'm going to move this from the kind of the corner. So I'm going to change that to say no fill and no outline.
Then I'm I'm the only one that knows that it's there. So let's see how it's gonna work. I'll say slideshow. Now let me turn the transitions off. So that doesn't get in the way. So I'm going to run slideshow from the current slide.
Now let's say somebody asks a question, oh, can we see the company video at this point? Well, I move up to where I know that action button is over here in the corner, and then I'll click on that. And then it'll make it kind of look like that was the next thing I was planning to talk about. And the other video will play. Then when I'm done with the video, I'll go back to the corner up here, and then I'll click there, and it brings you back to the other to the other slide. So that's what we mean by an action button.
It's actually still right there on the slide. But this way, we made it very invisible, so you're the only one that knows that it's there. This way you can go back and forth between different parts of the presentation. Now the next thing I'd like to talk about is where we can add a hyperlink. a hyperlink might be to a different file, or maybe it's to a website. Let's go back to our other presentation.
Now, let's say on this slide, well, this is where I had that sound. So I'm going to actually take that sound away, I'm going to click on that sound icon, and I'll delete that we don't need that anymore. Let's say on this slide, I want to have a button that if we click on it, it'll bring us to the website. Now, this is where I can get rid of some of these extra objects. So I can click on that text box and delete that. And pick on this text box and delete that.
So we can add a hyperlink to basically any object on the slide. So I'll say insert, and then the shapes. And I'm going to add the the rectangle again. And I'm going to say I'll just type in there, click here to go to the website. Now I can make that larger Of course by using the sizing handle. Now here's how we make that into a live hyperlink.
You click on the object, and then once again, we'll go back to the Insert menu. And then over here, we pick on the word link. Now there's numerous things we can link to. I can link to an email address. That means if you click on that, it'll, it'll start an email to that person. I can lead to a document on my computer, or I can link to a website.
So once again, let's see if one is up there in my recent list. Obviously, we can go to any one of these. So I'll go to let me just get the website from the internet that I was on before. So we'll use a just copy that site. So you can describe a website address. In this case, I'll pick on copy.
And then let's go back to PowerPoint. And I'll just paste it right in there. So that's a quick way to do that. Good. So I'll click on OK. Let's see what that hyperlink is going to look like. It's not going to work until I run my presentation.
So in this case, I'll pick on slideshow from the current slide. Now, if I move my mouse there, you can see it's going to be an active pointer. I'm going to click on that. And then that'll bring me right to the internet right to that slide. Okay, so now of course, that would require that you would have an internet connection. You could be making your presentation at your office where you know you have where you have an internet connection, but at the client site, or where you're actually going to give the presentation.
You You really want to test that before you get the presentation. Because, you know, you want to make sure you have a good internet connection to make that work. Of course, let's go about the PowerPoint. You can see how the hyperlink is working. So I'm going to hit the Escape key at this time, and go back to PowerPoint again. So I've just added the shape in there.
And then I picked an insert, and then hyperlink or link at this time, you can make a hyperlink out of anything. So for example, if I clicked on, if I clicked on this, this plane over here, let's say when I clicked on the airstrip, I wanted to go to American Airlines website. So I'll pick on I just picked them at the entire airstrip that was actually a picture. I'll say, insert link, and I'll go up to www.a.com, which I know is the American Airlines Flight, just as an example. And let's see what what that's going to look like. Click on slideshow from the current slide.
I'm going to click on the airstrip. And that brought me right to the American Airlines site, as you can see, so that was a quick way to do a hyperlink. Oh, there's the, there's the animation that we did, there's the plane getting gets guess where that was called an emphasis, and that was called the exit. That was a quick take off. That's fine. So when you saw how when I clicked on the airstrip, it brought me to the site that was called a link.
Now we can also link to a file. So let's say we want to open up an Excel file or any other kind of file on your computer that's had another shape, other insert shape, this time we'll use the circle. Now, of course, I'd like to make that larger using the sizing handle, and I'll say, click here to go to the accident. file. Now a hyperlink can be added to anything. An action can be added to anything on your slide as well, if you can click on it, that can be made into an action, like I showed you before, or it can be added to a link.
In this case, I'm going to click on the actual shape. I'll pick on the Insert menu, and we'll pick on link again. Now notice how we can also go to files on your computer. So I'll pick on the word browse, browse for file. In this case, I'll go to my download folder. And then I'll open up an Excel spreadsheet.
Now that could have been an Excel spreadsheet, or it could be a PDF or a Word document, or even another PowerPoint, it really could have been any kind of file. In this case, I'll click on OK. Now again, that hyperlink isn't going to work until you actually run the presentation. Now I'm going to move this picture now. I move it, I want to make sure it's lined up with the other picture. So notice how those lines come up, that really helps you line things up. It's a great tool.
And I also want to make that one red, so it's not the same color. So I'll go back to format, and we'll make that one red. Okay, we'll have that we'll use a shape fill. We'll make it red that way. That's a good read. All right.
So let's change that. So it's more round. There we go. Excellent. Now we're going to run the show, I'll pick on slideshow from the current slide. This one will go to the website.
And this one, if I click on it, it'll go to the Excel file. As you can see, so that's just another variation of a hyperlink here in PowerPoint. Between that and the action buttons, you can really tie things together and bring your presentation to life. Found right back in that same slide. Now maybe another thing that you would have as an interaction would be a hyperlink to an email address. So let's say insert, shape.
And here I have the shape. I'll say I'll, here's another way to add a hyperlink. If you notice, I right click on that. Then I can do a hyperlink right there. As you can see, it's just another way to do that. And then over here, it does say email address.
And then you would type in, let's say support at Mormon, education, calm and I'll pick on okay. Now, what I should do is I should also click there and I'll say, click here to send an email. Let's see how the hyperlink is going to work. So, I'll pick on the slideshow from the current slide. Now, if I click on that, that it should start an email in my in my case, it's going to go to Outlook. Whatever your default email program should, it should come up, you can see how outlook is coming up, and then it would have started an email.
Alright, so that that hyperlink went right to your email program. In my case, I went to Outlook. You can see it's going to allocate this time. Let's close that out. So there's so many great ways that you can bring your presentation slides here in PowerPoint. So we talked about let's go back to our other presentation.
I showed you how first of all how you can get us screen clipping from other programs. That was under the Insert menu and I saw it said a screenshot, I showed you how to make those rectangles that was called that was just the shapes that I've been using. Then we even did an organization chart. Remember how I did that with the smart art under the Insert menu, insert menu has so many great choices. As you can say, even even adding a chart to your PowerPoint presentation is a that's still a quick chart. Since we have a couple minutes here, I want to add a new slide.
And I'll say insert and then a chart. Now you can also copy and paste your charts right from Excel. But here we're going to make the chart right in PowerPoint. So make that chart right there. Now it'll actually open up an Excel spreadsheet where you would type in your data. So imagine here I'll type in East, West North South, and then you would type in your number.
So you're actually, you know, building your Excel spreadsheet from which the chart will come from. And then when I closed that Excel spreadsheet that just made a chart in PowerPoint. Otherwise, you could have copied and paste the chart right from Excel. But here you can build the chart right from PowerPoint. Now to manage that chart, the change the data again, I click on the design menu of the chart, and then I say Edit data. And then that'll bring up that Excel spreadsheet once again.
Otherwise, it works like other charts in Excel. But that is how we can really enhance the presentation in many ways. Then we got into the animation and the animation pane. Then we got into the transitions. The transition, if you remember is how we move from one slide to the next automatically. Oh, let me show you one more feature about the transitions.
Let's say we have the transition on every turn that back on again. And I want to say automatically after, that's it three seconds, and I'll say apply to all. I want to show you what happens when we get to the last slide, and I'll show you how to get around that. So I'll say slideshow from the current slide. Here's that slide and a couple of seconds to go to the next slide. And now notice how when it gets to the last slide, it just stops.
If you want that to loop all the way back to the first slide, here's an important choice. And we'll start wrapping up. I'll pick on this slideshow menu. You pick on setup slideshow, right there. Then you say loop continuously until you press escape. That way when it gets to the last slide, it'll go back to the first slide automatically so it'll keep on playing.
Pick on okay, I the slideshow and setup slideshow. I said Lukens. It's continuous integration, press escape. Watch what will happen this time. Have a slideshow from the current slide. Now it did move on to the next slide just like that.
And now it should go back to the first slide, which it did. This way I can keep that running. Maybe at the beginning of your session, you can have this running or maybe if you have a kiosk at the mall or at the trade show now that flasher will keep on going until you press the Escape key.
