Opening Document/Template from Quick Access Toolbar

You will learn how to create a macro to open a document or template, then add that macro to your Quick Access Toolbar so you can open your document with just one click. Tips and Tricks document for this section is included with this lesson.

In this module, I'm going to give you some tips and tricks to work more efficiently in Word. The first one is how to add a template to your Quick Access Toolbar. If you've got a template or even a document that you use consistently, you can add it to your Quick Access Toolbar. So all you need to do is click on it, and it will open for you. So what we're going to do is create a macro to open up our template, and then save that macro to the Quick Access Toolbar. Because we're creating a macro to open up the document, the path cannot change once we set it.

If it does, you need to recreate the macro and re add it to the Quick Access Toolbar. So let's start by creating our macro. So we're going to click on the View tab. Click on macros. Click record macro. Once we click Record macro record macro dialog box will open up here's where we're going to name it.

Now when you name it, it cannot include spaces or special characters. Because we're adding it to our Quick Access toolbar, I'm not going to set up a keyboard shortcut. Instead, I'm going to assign it to a button. When I do that, it's going to take me into the Customize Quick Access Toolbar dialog box. First thing we need to do is add it to the Quick Access Toolbar. So if we look under the left column, at our macros bind the macro, we just created the only one out here on mine Open Letter template, we're going to click Add.

To add it to our Quick Access Toolbar. It's going to give it a generic icon for macros. We want to give it a different icon to differentiate it from any other macros we may put out there. So we're going to make sure it's highlighted. Come down to modify and pick a different icon button for it. Now because I'm doing this as a letter, I'm going to choose this one it kind of looks like a letter to me.

So I'm gonna say OK, and click OK. Once I do that, you'll notice my eyes can change to like little cassette. This means it's recording the macro and at this point, I actually want to do the steps to open up my template. I'm going to click File. New. It's my personal templates, I'm going to click on personal and it's my letterhead. So I'm gonna click on my letterhead and it's opened it up.

Now I've completed what I want to do for the macro. So I want to stop recording my macro. I can go to the View tab to do it, or I can run the shortcut keys. Alt w, m r. And that stopped recording. You can see that my cursor has gone back to the arrow. I've stopped recording my macro.

So let's go back to my other document. And now let's try running and see what happens. There you go. Quick and easy way to open up documents that you use on a regular basis.
