In this section, we're going to focus on outlooks calendar, we'll go over the tabs and ribbons that are available within the calendar app. We'll also go over appointments, I'll show you how to create appointments, in addition to creating recurring appointments, then we'll move into meetings, creating regular meetings and recurring meetings. I'll also show you how to add your calendar to the sidebar, so it's always visible. I'll walk you through printing your calendar, the various ways you can print it and options available. And I'll also show you how to set up and print a blank calendar. Let's begin our focus on the tabs and ribbons available in the calendar app.
So let's go to Outlook. We'll switch over to the calendar. We'll start with the File tab which takes us to backstage just like it did when we were in email and when we were in Outlook itself. From the backstage we're able to save our calendar, open an export information, do a print up our calendar and also set up our automatic replies and manage our rules and alerts We'll go back to our calendar, and we'll focus on the Home tab. The Home tab is our default tab when we go into our calendar, just like when we go into email, it's our default tab. But here the Home tab is going to give us under the new group the ability to create new meetings and new appointments in addition to our new items, it'll also give us the option under the go to group to go to today if we're moving around in our calendar, or the next seven days.
The arrange group allows us to arrange by date, workweek, month or schedule a view. The manage calendar group allows us to open up a calendar for different views and also to manage group calendars create a new one or save a new group calendar. Under the share group, we can email out a copy of our calendar. We can share a calendar and we can publish it online. The group's group allows us to create a new group or browse the groups that we have set up and under the find group we can search for people in our address book The send receive tab focuses mainly on email, and gives us the ability to send receive all of our folders show our progress, and so forth. We'll click on the folder tab, which gives us the ability to create a new folder or new calendar, copying our calendar, share calendar, open shared calendars, and also set permissions and properties.
The View tab does just what it says it allows us to change our views, change our arrangements, just like we were able to in our home tab, and then also set up categories or colors, and change our layouts and content contrast to core tabs which contain various common commands that are relevant regardless of action. Contextual tabs typically contain one or more commands that are applicable to a selected or highlighted item only. For instance, when we click on an entry within our calendar, it's going to open up the calendar tools and the appointments series, contextual tab. Now it's opening up the appointment series because the appointment I clicked on was a recurring appointment. If it had been just one single appointment added to my calendar, it would just say appointment as the tab. This is a contextual tab that becomes available when clicking on appointments.
It gives me my actions of being able to open delete and forward in addition to adding meeting notes, inviting attendees if I wanted to switch it, and because it's a recurring appointment, I can change my recurrence information. Under the tags, I could also categorize it and change its importance. Another contextual tab that is available is the meeting tab. So if I click on a meeting, it's going to open up the calendar tools meeting series since it's a recurring meeting, or it would be meeting if it was a single meeting. And again, I have my actions available, in addition to making my notes, adding attendees, tracking my attendees, changing my options for the recurrence and selecting my tags. So keep in mind as you're Moving around within your calendar, the tabs may change depending on what you're working on.
And the Home tab is always your default tab. And that's where the majority of the items that you will be using will be housed. So if you wanted to create a new meeting a new appointment or go to new items, you would do it from here. And this is also where you could arrange or change part of your view instead of having to go to the View tab. So if I wanted to see the work week, I could click on it from here. Additionally, going to the View tab will allow me to view my schedule as well.
So it breaks it up a little bit differently so I can see more of the information on my schedule as I'm going through it. In the next lecture, we'll start working within the appointment application by creating appointments, both single appointments and recurring appointments.
