In this lecture, I'm going to go over attaching a calendar to an email, attaching a business card to an email, and how also to attach emails to emails. So let's start out by doing a calendar. Let's go ahead and create a new email. So we're going to go to the Home tab, new group new email, we'll send it to ourselves. One of the great advantages of attaching a calendar is that you can share your information with other people. So if you're trying to set up meetings over a month or so, you could send a copy of your calendar so that people can see what dates you have available.
Also, if you set up a project calendar, you can share it out with others, so they can load it into their outlook, and continue to work with it as well. To attach the calendar, we're going to go to the include group, click on the down arrow for attach item and choose calendar. Once you do that, it's going to bring up the sender calendar via email dialog box. And from here we're going to make our choices depending on what we want to send. We're going to go ahead Send the calendar, and we're going to change our range. So we want to send for the next seven days.
And then we can also choose our detail type. So we'll click on the More button, we can send availability only limited details, which is going to include the availability and our subjects. Or we can give our full details on our calendar. We're going to go ahead and do limited details. Now let's go to the advanced options and click Show. From here, we can choose to include details of private items if we wanted to.
I'm going to leave that unchecked. Now you'll notice the second item include attachments within calendar items is grayed out. That's because we chose to send a limited detail calendar. Now if we come to the layout, click on the down arrow, we can choose daily schedule or list of events. I'm going to go ahead and include a list of events in the email layout. And we'll say OK, and now you'll see it attached my calendar.
It attaches it as a dot CSV file. So when people open it, they can load it into their outlook. And if we scroll down through our email body, we've got the list of events, which is exactly what I told it to send. So let's go ahead and click the Send button and send it. It's going to run through my spellcheck, I'm going to cancel out of this and go ahead and send it up. Keep in mind, when you cancel spellcheck, it's just going to warn you and ask if you want to anyway, go ahead and say, yes, it's sending it.
And now I've received it. There's my alert for it. We'll come up here and click on it. And here's the preview of the email that can scroll through. Here's the list of events just like I'd seen before. I've got an information icon letting me know that I can click above to open the calendar in my outlook.
So let's go ahead and do that. We'll come up to the top here and click Open this calendar. When you do that, just like when you open anything up, it's going to prompt you. You should only open items from sources that you know and trust. I didn't know and trust the source. So I'm going to say yes And go ahead and open it.
Once I do that, it's going to open it up within my outlook in my calendars. So it took me to my calendars. And it's listing my calendars that I had. Here's my calendar, I've got a blank calendar that I had also set up. And here's the one that I just loaded, and it's got my information on it. So now I could add information to it.
If I wanted to, I could take it, I click on the arrow here and view it in overlay mode with another calendar. So that's just one of the advanced attachment features that's available. Let's go back and do a new email. So we'll go back to email, go to the Home tab, new group new email. We'll send another one to ourselves. And this time we're going to attach a business card.
Now the nice thing about attaching business cards is that people can open them up and import them directly into their contact list. So again, we're going to come over to the include group click on the down arrow next attach item and choose business card now It's going to give us the option to choose not only our business card, but other business cards that we have set up. So for sharing contacts out, for instance, if I'm part of a meeting group with somebody else in my company, I could send my business card and that person so that they're loaded up in the recipients address book. So I'll click on mine. And I'll add John's, it adds them as a VC file, so that they can be imported in. So we'll go ahead and send this and now they've come in, I can open it and save it to my contacts.
I can print it. I can copy it, do whatever I need to do with it. The last option I want to go over is showing you how to attach emails to a message. So let's go ahead and create a new email again. So we're going to go to our emails. Click New.
We'll send it to ourself again. We'll come back over to the include group, click Attach item, and choose outlook item. Once you do that, it's going to open up the insert item dialog box. And from here you can choose which items you want to insert. From our inbox. We'll choose the business card, and the calendar.
Now I just use Ctrl Click to select both of them. Before I click OK, we've got our insert as options, we can send text only, or we can send as an attachment. We'll go ahead and send us an attachment and click OK. Once I do that, it's going to attach the emails. And so now I can go ahead and send the message in, here's the email that's come in. I've got my two attachments on here, double click on it, I can open it up, I can do whatever I want with it from here, I can forward it, send it on, save it, print it out. I've got all the options available to me.
So those are just a couple advanced attachment options that I wanted to go over with you
