In this module, you're going to learn about working with time zones and Outlook. Outlook allows you to change your time zone so it matches your current location while you're traveling. It also allows you to add a second time zone for location to travel to or for a location where your clients are, so you can see that time as well on your calendar. In this module, we'll go over changing your timezone, adding the second time zone swapping your time zones and removing the time zone. The first thing I want to do is show you how to change your current time zone. To change your time zone, you need to go into the calendar options.

To do that we need to get into backstage. So you're going to first click on file to go to backstage. We'll go down to options. And from here, we're going to click on calendar. Now once you click on calendar, you're going to scroll down until you see the timezone section. From the time zone section.

This is where you can change the time zone you currently set up for. As you can see on mine, I'm set up For central time, if you want to change your timezone click on the down arrow for time zone. So for this example, we'll change it to pacific time. So click on that. And we can give it a label. So we'll call this Pacific.

Click OK to accept the change. And you'll notice now it labels it as Pacific. And also, if I were to come down and look at the clock on my computer, it will reset that to Pacific as well. Because once you change the time zone within Outlook, it's just like you had gone into the windows control panel and change the time there. So the time now displayed in all of our Microsoft Windows based programs is going to be pacific time. The next thing I want to do is show you how to add a second time zone.

A lot of times people set up second time zones if they're traveling a lot to a certain location, or if they've got main clients or another office in a location that they want to keep track of the time as well. So that when you're setting up meetings, you know what time It is at that location as well as at your office. So we're going to click on file to go to backstage. Again, we're coming down to options. We'll click on calendar, and we'll scroll down to the time zones again. And from here, we're going to click on show a second time zone.

We click on that, I'm going to set one for the Chicago office. So I'm going to give it a label. And then for the timezone, you're going to click on the down arrow again and choose the timezone that you want to set your second one to click on Central Time for this and say, OK, now when we look at our calendar, you can see I've got my Chicago and Pacific. So it allows you to view two time zones. So if I'm setting a meeting at eight o'clock my time I know that Chicago office, it's 10 o'clock. If I want to switch it and make Chicago my primary, I can do that as well.

The quickest way to do it is just do a right click on the time. Scroll down to change timezone. It automatically takes us to the outlook options in the calendar, we'll come down to the time zones. And we'll click the button swap time zones. Once we do that, you can see Chicago became the primary, and my second time zone became Pacific. So when I click OK, you can see it's switched in here as well.

If you want to remove the second time zone, do a right click again, come down to change time zone. You're in the calendar, go to the time zone area and turn off show second time zone. Click OK. And now I'm back to one time zone. So that's how easy it is to work with various time zones. Remember, file to go to backstage options, calendar, scroll down to time zones. And this is where you can change your time zone, add a second time zone, swap your time zones.

And if you had a second time zone, you could remove it from here as well. Click OK to accept your changes, and it'll add them here. Also just do a right click on the times go to change timezone, it automatically takes you out to the outlook options, the calendar settings and the time zone area so you could do the changes from here as well. So you've got two ways to get to it. Either one will work and working with the time zones makes it handy when you're setting up your meetings.
