In this video, we'll look at how we can use checklists in Trello. So check lists is another form of having a mini list within a cart, if that makes sense. So if you were to click on one of your carts on the right hand side, you'll find a checklist button. And you can give this checklist a name or by default, it's already called checklist. Just add that to your cart. And you already you can see there's a progress bar and it's zero percent by default.

You'll need to add items to the checklist for this to work. So for example, picking up cat I might detail it Let's see with a few things I'm going to add here. All right, so I just add a few items to detail out this entire pickup cat task. So as you can see immediately if you really go down a micro level, probably need to go get the car keys, and I can even go crazy enough and more detailed and even say I'll need to start the car engine. Drive Thru cut through the cat hotel And then I'll make payment. I'll then make sure that I pick up the cat and put the cat into the car.

And then I drive back home. So as you go by the list, you can check it off one by one. And if you see in the board itself, you can see that one out of five items off the checklist is done. And it will update as you click More and more of the checklist items off the list. So now you see it's three out of five. You can also choose to hide completed items.

This is more of a visual thing. Just to remove clutter, you can also decide to delete the checklist altogether and you can also reuse checklists in other cards. So if we go to another card right now, just for an example, add a checklist, copy items from you can choose this drop down here. And we'll choose one from pick up cat card is an item called checklist. And we had it and immediately copies exactly what items were in that checklist. So this is useful when you're trying to do more advanced project management and you have to deal with multiple cards that have potentially repeated content.

So it becomes almost like a template for you. And you can just create a new card and then just copy paste the checklist every time you need to do that, rather than typing everything all over again. So checklists is a bit tricky. because ideally, when it comes to task management and project management, as we mentioned before in previous lectures, you should be dividing and breaking down your tasks into cards that are in the right amount of size. So that it becomes something that's measurable and something that doesn't put too much detail and causes unnecessary information overload and you're bored. So as you can see here, if I were to really turn each one of these things into a card in Trello, can get messy really quickly.

And you have to really evaluate whether that's information overload Because if someone else is collaborating with you, in this project, or if you yourself want to look at your own task, if you go to this kind of micro level of detail is this overkill. So, I would use checklists when it comes to extremely complex task that requires a long time to finish. Maybe I'll be updating a blog, maybe a blog post, I would have a few steps before I can complete the blog post, it might take me a week or two weeks. That way, people can see that even though I'm just working on one card or one task. But when you see the checklist, they realize that Oh, these are all the things required in order for me to complete this task. So it's a complex task.

So I'll give you an example right now. Let's create another card. Let's use a blog post as the example. So when you're doing a blog post, you will have a bunch of processes in place before you can define something as done. So for example, you probably have a planning phase. You will have probably a research phase once you figure out what kind of content that you want to write up.

You might have a draft And then you might have review processes. And then you might have refinements based on that first draft that you reviewed. And then you might review it again. Before it's considered done. So as you can see, yeah, I'm writing one blog post, but there's a lot of steps and processes that have to go through before I can declare this as complete. So, using checklists in Trello, is a balancing act.

And it comes with practice. And it's highly dependent on the situation you're in. So the more you're used to using Trello and different kinds of projects, and different kinds of scenarios with different kinds of team members involved. You will eventually get the hang of when to use checklists in your cards and when to break it down into individual carts.
