So one trick I've learned along the way is to find ways to automatically create meeting cards, which syncs with my actual calendar. So to do that, let's have a look at some of the automation systems that we can use. So I use a website called automate.io. Basically, they're a third party kind of integration website where you can connect different tools like Trello JIRA Slack, and make them talk to each other. So the more famous ones would be Zapier and even IFTTT stands for If This Then That. So the first thing that I'm going to show is an example of how I could set up an email synchronization with my Trello board.
So you need to sign up for an account regardless of whether it's Zapier automate.io, whatever third party integration website or service you're using. And then the next thing you have to do is define which software or service that you want to integrate. So for example, let's have Google Calendar here. And even before that, there's also a bunch of recipes that are predefined by the website itself. They will recommend these things and it makes it faster for you to come up with your own recipe. So they're like templates.
So for example, I want to have this one when I add or update the cart in Trello. Based on any event added in Google Calendar? Hmm, click here. So I've already gone ahead and allow permission for this website to have access to my Google account. Hence, it's already populated here. I also need to grant access to Trello.
So automated IO can talk to Trello. Talk to Google Calendar in order to automate certain tasks for us. So in this example, I can go down here and fill up the rest of the form. So it's asking which calendar I must, I want to synchronize to. Let's see, I use this one. And I usually don't need to touch the rest.
Just make sure you focus on what is required first, everything else is very optional and could be a little bit daunting. If you're not a technical person, so then you move on to the Trello side before that. The second line here is to indicate the condition. So in what condition will this trigger, in this case in Google Calendar, in the event that an event is added, in other words, it was a meeting invite that's added, then do this. So in Trello, it will then have a trigger to add or update a car. So then you need to complete the recipe.
So we'll have to define what's required here, which is the board. I have many, many different boards. Let's see this one. And then I have a list. Maybe go to to do. So this will automatically create a card in to do.
Cart title, I like to use the event summary itself. So the title of the event in Google Calendar. So let's say meeting with someone will also be the title of the Trello card. You can feel free to input everything else, but I always find that it's just enough to have these information. One more thing that I like to add would be the event time, because I'm using this in the context of adding events that are based around my meetings on Google Calendar into my Trello board. So I want to know what time the meeting starts.
If you want you can customize a label that's in Trello when Never discard is added, but I find unnecessary. So once that's done, you can click Save. And then when ever you add a meeting on your Google calendar that you have set to sync with automate.io it will then create something like this with a due date with the name of the meeting to the selected list and board that you have predefined, so that way you have an automatic workflow, and you can save time rather than manually adding meetings. It will automatically appear here. Pretty cool, right? So give that a try.
