In this module I will explain the Quick Access toolbar, including the various ways to customize it, reset it and move it below the ribbons. The Quick Access toolbar is located in the upper left of your screen. It is a customizable toolbar that contains a set of commands, which are independent of the currently displayed tab on the ribbon, so you can always see these commands. By default, the Quick Access Toolbar includes Save, Undo, Redo, and touch mouse mode if you're working on a touchscreen there are three ways to customize the Quick Access Toolbar. The first way is to add a command that is on a tab or group. So for instance, if I wanted to add the highlight feature to my quick access toolbar, I'll come up and select it to a right click and choose Add Quick Access Toolbar.
Once I do that, you'll notice it adds the highlight feature to my quick access toolbar. Now because the Quick Access Toolbar Works independent of your tabs and ribbons. It doesn't matter what tab or ribbon I'm on, I still have access to it and I can still use the feature. The second way to add a command to the Quick Access toolbar is through the Customize Quick Access Toolbar drop down. Once you click on the drop down, it's going to give you the options of adding a popular command. Now the commands here are toggles.
If they have a checkmark next to them, that means they're already added to the toolbar. If you wanted to add one of these commands, say for instance, spelling and grammar, click on it and it will add it now if we come back into the Customize Quick Access Toolbar. You'll notice that spelling and grammar has the checkmark next to it. Another way to add the commands from the Customize Quick Access toolbar is to come into the more commands. Once you click More commands, it's going to take you into the Customize the Quick Access Toolbar dialog box. From here we We've got various options for choosing commands, we have our popular commands, commands, not in the ribbon.
All Commands, we can choose commands from specific tabs, and specific tools. Let's choose a command from all commands. Let's add the watermark to our Quick Access Toolbar. Now when I click on All Commands, it's going to list all the commands that are available within Word. The commands are listed in alphanumeric order. So I could scroll through until I get to watermark, or I can hit W to take me down to the W's.
Somebody click inside the box, what knows I want to use all commands, click W, it's going to take me down to the W's. Now watermark is the first w command so it highlights it from here. To add it to my quick access toolbar. I'll click the Add button. Once I click Add, you'll notice it adds it over to the right column here for my customize Quick Access Toolbar. I can click OK.
When I come out and look at my quick access toolbar, As you'll see, I have the watermark command added. If I click on it gives me the options for adding a watermark to my document. Let's go back into the Customize Quick Access Toolbar drop down, go back to more commands. Now let's choose a command from a tab or ribbon. So we're going to click the Choose from commands. Come down to insert, I want to add the insert picture.
So we're going to come down and look for picture. Click inside here, so it knows I want to use the Insert tab. I'm going to hit I because I want to insert a picture takes me down to the first command that begins with the eye. Now I can scroll through the list until I find my insert picture. There we go. Once I click on Insert Picture, I'm going to click Add.
It's going to add it to my list. I'll say OK. And there's my insert picture. The third way that you can add commands to the Quick Access toolbar is to the backstage options. So we're going to come over to file We're going to click Options. And we're going to come down a column until we find Quick Access toolbar and click on it. Now you'll notice it takes us into the Customize the Quick Access Toolbar dialog box, just as it had when we clicked on the drop down for customize Quick Access toolbar, it takes us to the exact same area.
And so from here again, we can choose a command to add to the Quick Access Toolbar. So it's just another area to go to to add commands. Okay, so if we wanted to add our font color, okay. And now we've got that added as well. If and anytime you wish to reorder the commands on the Quick Access toolbar, all we need to do is click on the drop down arrow for customize Quick Access Toolbar. Once we do that, we're going to go to more commands again.
Now we're not going to add a command. But this is where we come to reorder our commands as well. So instead of coming over and working in the left column, like we were doing when we were adding commands, we're going to come over to the right column. Here's all the commands We have. Now in order to reorder the commands, we're going to click on a command we want to move. Now for instance, if I want to move my spelling and grammar command, after save, I'm going to highlight spelling and grammar.
And I'm going to come over to the right where I've got my move buttons, and click the up arrow until I get it in the position I wanted. If I want to move my watermark, under my redo, click on it and move it up to where I need it. Let's move touch and mouse mode to the end. Once you have the commands in the order, you want them click OK. When you come out, you'll notice that they are in the order that we now move them to. And so that's how you reorder commands within the Quick Access Toolbar.
Now if there's a command on the toolbar that you no longer need, all you need to do is right click on the command and choose remove from Quick Access toolbar and it will remove it. If for some reason you want to reset the Quick Access Toolbar back to the defaults. You can do that as well. We're going to again click on the drop down for customize Quick Access toolbar, come into our more commands. Now we're going to come over to the right and go to the bottom where it says customizations. We're going to click on the down arrow next to reset.
Once you do that, you get to options reset on the Quick Access toolbar, and reset all customizations. We want the reset only Quick Access Toolbar. If you choose reset all customizations, any other customizations you put within Word will also be reset. So make sure you choose reset only Quick Access Toolbar. When you do that word is going to give you a reset customization alert box and it's going to ask you if you're sure Are you sure you want to restart the Quick Access Toolbar shared between all documents to its default contents? If you're sure, click Yes, we're sure we want to do this.
So we click Yes. You'll notice goes back to the for default commands that we have or click OK. And you'll notice up here it's also reset to the default. The last option I want to go over is moving the Quick Access Toolbar below the ribbons. If you prefer to have it below the ribbons instead of on top of the ribbons, you can move it as well. So we'll click on the Customize Quick Access Toolbar drop down. And this time we'll go to the very bottom and choose Show below ribbon.
You'll notice it moved to below the ribbons. When I move it back up, do the same thing and this time show above the ribbon. And that's how you customize and use a quick access toolbar.
